Beyond the Booking: Why Your Reservation System Needs a Memory
Diners expect more than ever, and most restaurants still treat every booking as a one-day relationship. We sat down with Candy, Head of Sales at Bistrochat, to talk about connecting reservations with membership data so every guest feels recognised, visit after visit.
A booking tells you who's coming tonight. It doesn't tell you that they're vegetarian, that they've topped up credit with you, or that they're one visit away from your next membership tier.
Unless your systems are connected.
In this Eber Connected partner interview, we spoke with Candy, Head of Sales at Bistrochat, an AI reservation solution that helps restaurants manage reservations, table flow, guest profiles, and bookings coming in from multiple channels. We talked about rising diner expectations, why bookings alone aren't enough, and what changes when reservation data meets loyalty data.
Diners Expect More, and They Know It's Possible
Candy sees customer expectations in F&B climbing steadily. Part of it is awareness: diners know the technology to deliver better service exists. Part of it is experience: as a guest herself, she's noticed service levels going up, which raises the bar for everyone else.
That applies to businesses of every size. Bigger restaurants face higher expectations because, as Candy puts it, the more people pay, the more they expect in return. Smaller restaurants face a different pressure: standing out among so many competitors.
And in Hong Kong, she says, the bar is higher still. Having travelled around the region, she finds diners elsewhere more relaxed. Hong Kong diners expect a better experience every time they eat out.
Her conclusion: meeting those expectations is much easier when you have both a booking system and a membership system working together.
Every Channel, One View, No Overbooking
Today, most restaurants take bookings from several marketing channels at once. Keeping track of all of them in your head is close to impossible, and when it goes wrong, you overbook and upset the very customers you're trying to impress.
Bistrochat pulls bookings from every connected channel into one view, and its seating availability feature manages the floor. No matter how many channels the bookings come from, the restaurant doesn't get overbooked.
Remember Everything, Not Just the Reservation
The more valuable layer is what the system learns about guests over time. Bistrochat captures data from each guest's booking history, and restaurant teams can add their own notes to every profile.
- Preferences: what the guest likes, and what they don't
- Allergies and dietary needs
- Special notes about the guest
- Booking tags for any special requirements on a reservation
The result: the restaurant remembers everything about the customer and the booking, and can deliver the best possible dining experience.
When Reservations Meet Membership
Bistrochat and Eber share the same idea: know your guest. Together, they give restaurants a far fuller picture.
Two pieces of membership data matter most here. The first is membership tier, which helps the restaurant offer better service and more relevant offers to the right guests.
The second is prepaid credit. Candy points out that guests who top up their account have already told the restaurant something important: they're planning to come back. That makes top-up one of the clearest signals of loyalty a restaurant can get.
Recognise the tier, offer the right reward
Restaurants Candy works with asked for exactly this: when a guest books, can the team see which membership tier they're in? Guests in certain tiers might be eligible for specific redemptions, so the team can make sure the right package goes to the right customer.
It works on the guest side too. When diners see what higher tiers unlock, they start thinking about how to move up, which gives them one more reason to come back.

Booking System vs. Guest Relationship Management
We closed with our hardball question: in the next one to two years, what separates restaurants that only have a reservation system from the ones that care about the entire customer journey?
Candy's answer: a plain booking system records the booking and nothing else. Restaurants relying on one are focused on serving today's guests, not on retention or on getting people to come back.
| Booking system only | Guest relationship management |
|---|---|
| Records the booking | Records the guest: history, preferences, allergies |
| Focused on tonight | Plans for the next visit |
| One-day relationship | Long-term relationship |
| Generic marketing | Targeted offers backed by real guest data |
"The relationship between a restaurant and its guests is a long-term relationship, rather than a one-day relationship for a same-day booking."
Candy, Head of Sales · BistrochatWith guest relationship management in place, restaurants can work with all their past guest data, keep notes on what each guest likes, dislikes, or can't eat, and use it all twice: to serve guests better tonight, and to market to the right people later.
Give Every Booking a Memory
Rising expectations aren't going away, especially in markets where diners already expect a lot. The restaurants that keep up won't be the ones with the busiest booking calendar. They'll be the ones that remember their guests.
Bistrochat knows who's coming and what they need. Eber knows where they stand as a member and gives them a reason to return. Connected, every booking becomes part of a longer relationship.
A reservation fills a table tonight. A relationship fills it again next month.
